School management · Admissions and records
An enquiry stops dying in a register by the front desk
Every enquiry — from the website, a walk-in or a telephone call the office logs — is carried through to admission in one list with a next step on it, and the admitted child’s record then produces the documents, the certificates and the ID card without anything being typed twice.

Who it helps
Families applying
- Apply and send documents without a second visit to fill the same form again.
- Hear where the application stands instead of ringing to ask.
The office
- Work one list with a next step on every enquiry, rather than a diary and a stack of forms.
- Print a transfer certificate, a bonafide letter or an ID card from the record already held.
Leadership
- See how many enquiries became admissions this season, and at which stage the rest stopped.
- Find any student’s whole history — admission, documents, fees, attendance, results — in one place.
What it does
- Enquiries captured from the website form, the front desk and a logged call, all into one list.
- Each enquiry carried through its stages to admission, with the next follow-up recorded on it.
- Online and in-office admission forms that become the student record on admission.
- Documents held against the student — birth record, previous school papers, photographs.
- Transfer, bonafide and character certificates printed in the school’s own format and numbered.
- Student and staff ID cards with photograph and, where the school uses them, an RFID number.
- Class and section allotment, roll numbers, and a student’s house or batch.
- A record that follows the student through the years, and to another branch of the same group.
Common questions
Can we bring in the students we already have?
Yes. Existing records come in from your spreadsheets or your current system while the school is being set up, so you do not begin with an empty school.
Does an enquiry from our website reach this list?
The website’s enquiry form writes into it directly, with the family’s details, so nothing depends on somebody copying a message across by hand.
Who can issue a transfer certificate?
Only the staff you give that permission. Each certificate is numbered and kept against the student, so a second copy is a reprint rather than a new document.
What happens to a student who leaves?
The record stays, marked as left, with the certificates issued and the fee position at the time — which is what you need when another school asks for a verification two years later.
